1. Who we are and what this covers

Sonergy Group, Inc. (“Sonergy,” “we,” “us” or “our”) is a Florida corporation headquartered at 8461 Lake Worth Rd, Lake Worth, FL 33467, USA. Sonergy is responsible for the personal information described in this policy.

This policy applies to personal information we collect through this website (the “Site”), through inquiries and correspondence, and in the course of evaluating and managing business relationships with customers, suppliers and other counterparties. Our business is conducted with companies, governments and other organizations, so most of the personal information we handle concerns their representatives.

2. Information we collect

Information you give us

  • Inquiries. When you use the inquiry form or email us: your name, company, email address, phone number, the business line you are interested in, and the details you include, such as products, volumes, delivery windows and destinations.
  • Business correspondence. Information in emails, calls, meetings and documents you exchange with us, including your job title and business contact details.
  • Due diligence and onboarding. If you or your organization become, or seek to become, a customer, supplier or counterparty, we collect information needed for know-your-customer, beneficial ownership, sanctions and anti-money laundering checks. This can include corporate registration documents, the names, dates of birth, nationality and identification documents of directors, beneficial owners and authorized signatories, and bank and trade references. We collect this through our onboarding process, not through the Site.
  • Transaction records. Contract, shipping, inspection, payment and customs records that contain the names and contact details of the people involved.

Information collected automatically

When you visit the Site, our hosting provider and the third-party resources described in section 6 receive technical information such as your IP address, browser and device type, the pages you request, the referring page and the date and time of your visit. This is used to deliver and secure the Site.

Information from other sources

For due diligence, we may obtain information about counterparties and their representatives from public registers, sanctions and watch lists, screening and credit reference services, banks, and trade references.

3. How we use information

  • to respond to inquiries, prepare quotations and negotiate and perform contracts;
  • to carry out know-your-customer, sanctions, anti-money laundering, anti-bribery and export control checks before and during a business relationship;
  • to arrange shipping, storage, inspection, insurance, financing, customs clearance and delivery;
  • to manage our relationships with customers, suppliers and partners, including occasional business communications about our products and services;
  • to comply with legal, regulatory, tax and record-keeping obligations and respond to lawful requests from authorities;
  • to protect the Site, our business and others against fraud, impersonation, security incidents and misuse; and
  • to establish, exercise or defend legal claims.

We do not sell personal information, and we do not use it for targeted advertising.

4. Legal bases (EEA and UK)

Where the EU or UK General Data Protection Regulation applies, we rely on these legal bases:

  • Contract: to take steps at your request before entering into a contract, and to perform it.
  • Legal obligation: for sanctions, anti-money laundering, tax, customs and record-keeping requirements.
  • Legitimate interests: to respond to business inquiries, manage relationships, carry out due diligence, prevent fraud and secure the Site. We balance these interests against your rights.
  • Consent: where we ask for it. You can withdraw consent at any time without affecting earlier processing.

5. How we share information

We share personal information only as needed for the purposes above, with:

  • Service providers that act on our behalf, including website hosting and security (Cloudflare), email (Google), and form delivery (FormSubmit, which forwards inquiry form submissions to our inbox);
  • Transaction parties such as refineries, terminals, producers, shipping and logistics companies, independent inspection companies, insurers, banks and trade finance providers, and customs brokers, where needed to perform a transaction you are involved in;
  • Our affiliates and brands, for the purposes in this policy;
  • Professional advisers such as lawyers, auditors and accountants;
  • Authorities, including regulators, law enforcement, tax and customs authorities, where required by law or to protect our rights; and
  • A buyer or successor in connection with a merger, acquisition, financing or sale of all or part of our business.

6. Cookies and third-party resources

The Site does not use advertising or analytics cookies and does not track you across other websites. Our hosting provider may set strictly necessary cookies to protect the Site against abuse.

To display the Site, your browser loads fonts from Google Fonts and some photographs from Unsplash. Those providers receive your IP address and browser information when the resources load, under their own privacy policies. If we add analytics or other cookies in future, we will update this policy and ask for consent where the law requires it.

7. International transfers

Sonergy is based in the United States and works with partners in North America, South America, Europe, the Middle East, Africa and Asia. Personal information may be processed in the United States and in other countries whose data protection laws may differ from those where you live. Where the GDPR or UK GDPR applies, we use appropriate safeguards for these transfers, such as the European Commission’s standard contractual clauses and the UK addendum.

8. How long we keep information

  • Inquiries that do not lead to a business relationship: up to three years after our last contact.
  • Due diligence, contract and transaction records: for the length of the relationship and at least five years after it ends, or longer where the law, an investigation or a legal claim requires.
  • Technical logs: for the short periods our hosting provider uses them to deliver and secure the Site.

When information is no longer needed, we delete or anonymize it.

9. Security

We use administrative, technical and physical measures designed to protect personal information against loss, misuse and unauthorized access. No system is completely secure. Please do not send bank details, passwords or identification documents through the inquiry form or by unencrypted email; we will tell you how to send them securely if they are needed.

10. Your rights and choices

Depending on where you live, you may have the right to:

  • know what personal information we hold about you and receive a copy;
  • correct inaccurate information;
  • have your information deleted;
  • object to or restrict certain processing, including processing based on legitimate interests;
  • receive your information in a portable format;
  • withdraw consent; and
  • opt out of business communications at any time, using the unsubscribe link or by contacting us.

To make a request, contact us using the details in section 15. We will verify your request and respond within the time the law requires. Some information must be kept to meet legal obligations, such as sanctions and anti-money laundering records, and we will explain if that limits what we can do. If you are in the EEA or UK, you may also complain to your local data protection authority.

11. Notice for U.S. state residents

Some U.S. states give their residents privacy rights, including the right to know, correct and delete personal information and to opt out of its sale, sharing for targeted advertising, or profiling. Sonergy does not sell personal information, share it for cross-context behavioral advertising, or use it for profiling that produces legal or similarly significant effects. Where the law requires, we honor browser-based opt-out signals such as Global Privacy Control. We will not discriminate against you for exercising your rights. You may use an authorized agent to make a request, and we may ask for proof of the agent’s authority.

12. Children

The Site is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.

13. Other websites

The Site links to websites we do not operate, including affiliated brands. Their privacy practices are governed by their own policies.

14. Changes to this policy

We may update this policy from time to time. The “Last updated” date shows when it last changed. If we make material changes, we will take reasonable steps to let you know.
